When you start your program a portfolio will be created for you in the organization where you are in the training program. You will automatically receive an email with which you can start using your account and portfolio. With your own portfolio you record your learning activities and make your learning process visible.

With the following three steps you activate your portfolio:

Go to the activation email and click on the link
Go through the steps to get your account in use
Download the Reconcept EPA Portfolio App

You will receive an email from us with an activation link. Through this link you activate your account and go through the onboarding. In the onboarding you set the following important things:

A password. You use the password to log in to new devices. You don't have to log in every time.
A Pin. we use a personal PIN that acts like a digital signature and as an additinal security measure when inactivity occurs . You can choose your own 5 digit code. Remember your pin well!
Give access to affected persons. You can link your supervisors who will provide you with feedback.

Change email adress

Change your email address yourself if you no longer have access to your current email address.

Backup email address

Add a backup address to your account. This email address can be used if you primary email address becomes inaccessible, such as if you have another place of work. This way you ensure that you'll always have access to your account.

We recommend using a personal email address that is always accessible to you.

For example, if you no longer have access to your current (primary) email address, you can still log in with you backup email address + your current password.

After logging in, you can change your primary email address yourself to a new one.

A user gets default access to your portfolio based on his/her role, but as portfolio owner you can customize this access and deviate from the default per-role access rights. You can grant or revoke additional permissions. The different levels of access are:

Billing

Accepted Answer

Billing is based on the number of active portfolios managed by the organization. A portfolio is immediately active from the moment of its creation. A portfolio is always managed by one program. Usually, this is the organization that created the portfolio (or where the portfolio was created at launch), but the billing of a portfolio can also be taken over.

The number of active portfolios is determined on the last day of each month. Through User Management you can find an overview of the active portfolios. Here you will also find the exact date of the reference date.

Keeping an overview of your billing

The easy way to keep keep track of the administration, is to schedule two moments per month to check everything. This way, you'll make sure you're not paying for portfolios that aren't being used and avoid unnecessary costs for your organization.

Moment 1: at the beginning of the month

Check which portfolios are active
Transfer billing or stop billing portfolios that are no longer active in your organization

Moment 2: at the end of the month - beofre the reference data (last day of the month)

Check whether the takeover requests have been accepted. If not yet, you can deactivate the portfolio. Then it is up to the new organization to reactivate the portfolio.
Deactivate portfolio that (temporarily) stop their (pre)training. If you deactivate them before the reference data, you do not have to pay for that month. (e.g. you deactive a portfolio on Octob

Temporarily deactivate portfolio

The portfolio can be temporarily deactivated in case of leave, absence or other reasons where the training is temporarily stopped. To temporarily deactivate a portfolio, follow these steps:

Go to User Management
Click on the user whose portfolio you want to deactivate
Click on Temporarily deactivate next to the appropriate portfolio
Then click on The portfolio is temporarily deactivated

When temporarily deactivating a portfolio, billing is temporarily stopped until the portfolio is reactivated. Deactivating a portfolio can be done by either the portfolio owner or the managing organization. Reactivating it can only be done by the administrator of the managing organization.

When temporarily deactivating a portfolio, the portfolio owner retains his/her role in the organization. Should a user permanently stop training and no longer work in the organization, then you can also remove the user from the organization.

A deactivated portfolio is only viewable by the portfolio owner himself/herself and remains available in Reconcept EPA for five years. During those five years the portfolio can be reactivated.

To reactivate a portfolio navigate to User Management. Click on the user and click on Reactivate Portfolio.

Access by individual user

By organization you can see the different users involved in your portfolio. Are you missing an organization or a person who does need access? Add that person via the Add people button. Don't forget to **press save **after selecting the user.
