Overview of access management
As a portfolio owner, you have a lot of control over who can view your portfolio and who is allowed to contribute to it. In Access Management, which you can find under your Portfolio Settings (or through the key-icon in the web environment), you can see exactly who has access and modify this access.
Tip: first read Roles and Permissions in Reconcept to understand how your portfolio's access management relates to user roles in the organization.
Insight into persons with access
In Access Management, you can see all organizations where users currently have access to the portfolio or have had access in the past. Per organization, you can see which individuals are involved, what their current role is, and whether their access is currently active. You do not necessarily see all persons working in this organization here. If someone is missing, you can still add them manually.
Viewing and modifying permissions
To see exactly what permissions a person has, you can view the details of a role. In the web environment, you do this by clicking the pencil icon. In the mobile app, tap the role to see the details. You can activate or deactivate each role individually using the toggle. This allows you to revoke or regrant previously granted access at any time. You can also use the top toggle "(De)activate all access rights in this group" to activate or deactivate all rights for the entire group at once.
Automatic access for new users
For each organization, you can indicate that new users in an organization should be granted access by default. You do this by enabling the checkbox "Grant new users in this group automatic access to my portfolio in the future". This can be useful if new people often join the organization and the learner generally wants to involve all colleagues in the portfolio. New users will then automatically receive a portfolio role that aligns with their new organization role, with the appropriate level of access.
