Adding and editing periods
You can add periods to a portfolio or edit them to accurately record the training trajectory. This allows the learner to set the correct focus for each period and properly manage access for supervisors.
Adding or adjusting a period
You can add a new period from the Period overview page. To edit an existing period, go to the detail page of that specific period.
Predefined periods
When adding a new period, you may be able to choose from a list of predefined periods depending on the portfolio setup. This pre-fills certain information. You can also always choose to fill in the details manually.
General period information
You can give the period a title, for example, to describe the subject of a placement. Every period must have a start and end date.
Additionally, you specify a part-time percentage. This indicates what portion of a full work week (FTE) the learner spends on this placement. This is useful for parallel placements, such as working 2 days a week (40%) on one and 3 days a week (60%) on another. This information is used to calculate the total training duration correctly. You can also indicate if a period represents an interruption in training, such as parental leave or a research period.
Finally, you can specify the location where the period takes place. You can choose from locations relevant to this specific portfolio type.
Linking skills and topics
It is possible to link skills and other topics to a period. This is purely informative and does not affect the platform's functionality; it serves to clarify the focus during this period. You can only select topics that are already activated in the portfolio. To add new topics, please refer to the article on Managing skills and topics.
Managing supervisors and access
You can designate one or more supervisors for a period. If the designated person does not yet have supervisor rights and you are logged in as the portfolio owner, you will be prompted to grant these rights immediately.
As the portfolio owner, you can also grant access to other individuals. This list shows everyone with a role at the selected location. They are granted limited rights appropriate to their role, which usually means they can only view their own contributions to the portfolio rather than the entire portfolio. If you are adding a period in the future, you can choose to skip this step. A reminder will be sent before the period starts to verify access rights.
Additional information
Access management and notifications
The periods in the portfolio help the learner grant access to the correct people. Based on this schedule, a warning is sent a few weeks before the start of a new period to check the access settings.
