Completing or deactivating your portfolio temporarily
If you no longer need your portfolio or will not be using it for a while, you can deactivate it. You can find this option under Portfolio settings > Deactivate portfolio.
Deactivation status
To deactivate your portfolio, you first indicate whether it is a temporary deactivation or if the portfolio has been fully completed. This choice does not have a direct effect on the technical capabilities of your portfolio, but it provides clarity to your organization regarding the status of your training.
Consequences of deactivation
A deactivated portfolio is no longer visible to others. You can still log in yourself and view the full content of your portfolio, but you will no longer be able to add new content to it.

Management and reactivation
The portfolio can also be deactivated by an administrator through user management. For more information, see this article. A deactivated portfolio can always be reactivated by an administrator of a department where that type of portfolio is in use. It does not matter whether the portfolio was previously marked as temporary or completed.
Costs
No costs are charged for a deactivated portfolio. This applies to both portfolios that are temporarily deactivated and portfolios that are marked as fully completed.
Retention period and data
We store the data in a deactivated portfolio for a standard period of 5 years, unless a different term has been agreed upon with your educational institution. During this time, you can still log in and view your data. If you want to keep your data for a longer period, we recommend exporting your portfolio.
