How does the billing of portfolios work?

Billing is based on the number of active portfolios managed by the organization. A portfolio is active immediately from the moment it is created. A portfolio is always managed by one organization. In principle, this is the organization that created the portfolio (or where the portfolio was created at launch), but the billing of a portfolio can be transferred to another organization. The number of active portfolios is determined on the last day of each month. Through User Management, you will find an overview of the active portfolios. You will also find the exact reference date here.

Keeping an overview of your billing

It is easiest if you schedule two moments per month for yourself to keep up with the administration. In this way, you ensure that you do not pay for portfolios that are not being used and prevent unnecessary costs for your organization.

Moment 1: at the beginning of the month

  1. Check which portfolios are active.
  2. Transfer the billing or stop the billing of portfolios that are no longer active in your department.

Moment 2: at the end of the month - before the reference date (last day of the month)

  1. Check if the requests for takeover have been accepted. If this is not yet the case, you can deactivate the portfolio. It is then up to the new department to reactivate the portfolio.
  2. Deactivate portfolios that (temporarily) stop the (preliminary) training. If you deactivate them before the reference date, you do not have to pay for that month. (e.g.: if you deactivate a portfolio on October 29th, you will not receive an invoice for October for that portfolio).

Your organization may have a different agreement with us with alternative billing conditions.
