Modifying and deleting existing forms

Because the content of a portfolio must be reliable, you cannot always make changes or delete items. In this article, we explain when you can make changes and what the alternatives are when a direct adjustment is no longer possible.

Modifying forms

Forms that do not involve an assessor can always be modified or deleted. For forms that do involve an assessor, this works differently. In principle, you can only modify these as long as they have the 'Draft' or 'Pending approval' status. After a form has been approved, you can no longer modify or delete it. This applies to both the learner and other stakeholders to ensure that the history of a portfolio remains accurate.

Lodging an objection

Since assessors can place assessment forms into the learner's portfolio themselves without the learner signing beforehand, there is an option to lodge an objection to the content afterwards. The form is immediately marked as such and no longer formally counts towards the content of the portfolio. The assessor then receives an action item to modify the content and sign it again.

Voiding a form

If both the learner and the assessor agree that a form is no longer valid, you can jointly declare the form void. To do this, both individuals must enter their PIN simultaneously on the same device. The form is then marked as 'void' and no longer formally counts towards the content of the portfolio.

Withdrawing entrustment decisions

Specifically for entrustment decisions, an assessor can unilaterally withdraw them. If practice shows that the learner has not mastered a certain skill, the entrustment decision can be undone. The form will be marked as withdrawn, and the learner's current entrustment level will be reset to the level that was previously applicable.
