Automatically filling assessment forms from an audio recording

To make assessment moments even more accessible, Reconcept offers the possibility to record a feedback interview. Using speech-to-text, feedback is automatically extracted from this recording. The result is a pre-filled assessment form that you only need to review and submit.

Starting and finishing a recording

To start a recording, open the mobile app, tap the plus button, and choose 'Start audio recording'. Then click the large microphone button to begin the recording. When you have finished the feedback interview, choose 'Finish'. You will then see several options for processing the information.

Viewing and saving the transcript

You can view the transcript of the interview to check if the conversation has been captured correctly. There might be some inaccuracies in the text, but this usually does not affect the quality of the processed feedback. You have the option to save the transcript of the interview in your personal notes. If you do not choose this, no copy of the full transcript or the audio will be stored.

Filling forms with suggestions

You can select one or more forms to be filled based on the transcript. The fields from the form are displayed with suggestions generated by the AI. For an assessment form, for example, you will see suggestions for the 'Positive points' and 'Points for improvement' fields. You can choose to use these suggestions and then adjust the text as desired. After the text fields are filled, you can complete the other details of the form, such as the relevant topics, and sign the form in the usual way.

Privacy and processing by Juvoly

The recorded audio is processed by our partner Juvoly. This Dutch company uses AI models on its own hardware in the Netherlands, which means the data never leaves the Netherlands or ends up with non-Dutch parties. The audio is processed based on the "in one ear and out the other" principle. This means the audio is only kept for a few seconds to create the transcript, after which all data is immediately deleted from their hardware.
